Google Gemini guide for small business owners
How to use Google Gemini for free in a small business: get started in 5 minutes, write better prompts, use 5 ready-made templates and keep data safe.
Google Gemini is Google's free AI assistant. It helps small business owners with everyday work, from drafting documents and brainstorming marketing ideas to reading photos of paperwork, without hiring extra staff. All you need is a Google (Gmail) account and the ability to type a question as if you were sending a chat message.
This guide shows small business owners how to use Google Gemini from scratch: setting it up, briefing it for good results, 5 prompt templates you can copy straight away, and what to watch out for to keep your business data safe.
1. What is Google Gemini and why should small businesses use it?
Google Gemini is an AI assistant developed by Google. You type (or say) a request in your own language, and Gemini answers with text, tables or images.
Key advantages for small businesses:
- Free and accessible: a standard Google (Gmail) account is all you need, no bank card required.
- Strong in many languages: it writes natural text, including the casual tone you use with customers.
- Reads photos and files: take a picture of a price list, invoice or document and ask Gemini to work with it.
- Works with your Google account: you can bring files from Google Drive into a conversation. Note that Gemini features built into Gmail itself (writing suggestions, email summaries) are free only in some countries so far; a free account in Vietnam may not see them yet. The Gemini app is the reliable way in.

2. Get started with Gemini in 5 minutes
On your phone:
- Open Google Play (Android) or the App Store (iPhone) and search for "Google Gemini". Choose the app whose developer is Google LLC. Many Android phones already have it.
- Open the app and sign in with the Gmail account you already use.
- Type a first request in the box at the bottom, for example: "Write a welcome message for new customers of my flower shop".
On a computer: open a browser, go to gemini.google.com and sign in with Gmail.
Gemini looks like a messaging app: the text box is at the bottom and answers appear above it. The plus icon attaches photos or files, and the microphone icon lets you speak instead of typing. Start a new chat for each task so Gemini doesn't mix up the context.
Tip: use the same Gmail account on your phone and computer. Your chats sync, so you can start on your phone on the go and continue at your desk.
3. Practical business uses of Gemini
| Business need | How Gemini helps |
|---|---|
| Content drafting | Write quotation emails, draft social media posts, create internal announcements |
| Customer care | Draft replies for Zalo, Facebook or WhatsApp messages; write apology notes for late deliveries |
| Research & ideas | Plan promotional campaigns, generate PR article topics |
| Reading images | Digitise handwritten price lists, summarise key details from photos of documents |
| Staff management | Write job ads, create morning and evening shift checklists |
| Online selling | Write product descriptions for your online shop; answer frequently asked questions |
Gemini's particular strength is reading images. A café owner can photograph a handwritten menu, ask Gemini to turn it into a clean table, then paste it into Google Sheets or send it to the printer.
4. An effective prompting framework for Gemini
The most common mistake is asking too briefly, like "write a post selling cakes". Think of Gemini as a new employee who writes very well but knows nothing about your business yet. To get accurate, relevant answers, structure your prompt in 4 parts:
Command + Context + Detailed requirements + Desired output format
Example prompt: "Act as a marketing expert. I run a small bakery in Hanoi. Write 3 Zalo/WhatsApp message templates to send to returning customers, introducing a 15% birthday discount campaign. Keep the tone friendly, concise (under 100 words), and include relevant hashtags."
Don't stop at the first answer. Gemini remembers what you said earlier in the same chat, so keep refining:
- "Make it half as long."
- "Rewrite it in a more formal tone for business clients."
- "Version 2 is the best, write 2 more like it."
Two or three rounds usually give you something you can use straight away.
5. 5 ready-to-use prompt templates for business owners
Copy one, replace the parts in [square brackets] with your details, and send.
Template 1: Handling a customer complaint
I am an online fashion shop owner. A customer is complaining because they received the wrong
shirt colour due to a packing error. Write a sincere apology message offering a free exchange
with zero shipping fees and a 10% voucher for their next order. Under 80 words, warm, no clichés.
Template 2: Morning opening checklist for staff
Create a morning opening checklist for staff at a [coffee shop/bakery/store], covering cleaning,
ingredient preparation and equipment start-up. Format it as a tick-box list that fits on one
A4 page to print and stick at the counter.
Template 3: Promotional campaign ideas
Suggest 5 low-cost promotional campaign ideas to boost year-end sales for [a small printing shop],
with the pros and risks of each option. Present them as a table.
Template 4: Digitising a price list from a photo
Tap the plus icon, attach a photo of your price list or menu, then type:
Turn the price list in this photo into a table with 3 columns: Product name, Unit, Price (VND).
Mark anything hard to read with [?] so I can check it, instead of guessing.
Template 5: Summarising a long document
Summarise the text below into 5 key points in plain language,
then list what I need to do and any deadlines:
[paste the text, with personal details removed]
6. Build your own shop assistant with Gems
If you find yourself explaining "what we sell, who our customers are, what tone we use" every day, create a Gem: a version of Gemini with your own instructions built in, reusable as often as you like. Free accounts can create Gems, with a daily usage limit.
- On a computer, go to gemini.google.com, find Gems in the left-hand menu and create a new Gem.
- Give it a name, for example "Customer care assistant".
- In the instructions, spell out what you sell, who your customers are, the tone you want, your returns policy, and things it must never promise customers.
- Save it. Next time, open that Gem and paste in the customer's message.
Note: never put bank account numbers, passwords or customer lists in a Gem's instructions.
7. Keeping your data safe with Gemini
Gemini is an online service: what you type is sent to Google's servers. So:
- Don't enter sensitive data: ID numbers, bank account numbers, passwords, customer lists with phone numbers, payroll. Replace real details with placeholders such as "Customer A" or "Employee B".
- Always review the output before sending it to customers or using it in your business. AI sometimes gets figures or prices wrong, or invents convincing-sounding facts.
- Manage your chat history: under Settings & help → Activity, you can switch off saving activity (Google calls it Keep Activity) and delete past chats. Even when it is off, Google keeps conversations for up to 72 hours to run the service, so "no sensitive data" remains the most important rule.
- Protect your Gmail account: use a strong password and turn on 2-step verification, since your whole Gemini history is tied to it.
8. When is a paid plan worth it?
For most small business owners, the free plan is enough to get started. It has usage limits that reset after a while, and some of the most capable models are reserved for paid plans.
Consider upgrading if you keep hitting the limits or need more storage. Google sells a Google AI Plus plan in Vietnam, a little over 100,000 VND a month at the time of writing (with extra Google Drive storage), plus higher Pro and Ultra tiers. Only buy directly in the Gemini app or Google One, never a "shared account" from a stranger.
9. Where to start
- Today: install Gemini and try Template 1 with a real customer message (personal details removed).
- This week: give Gemini one writing task a day that you usually do yourself, and try reading a photo of a document (Template 4).
- At the weekend: create a Gem for your most repetitive task, such as customer replies.
To compare with another AI assistant, read our step-by-step ChatGPT guide for business owners. The two tools work in much the same way, and the templates above work in both.
Checked in October 2026. Gemini's layout and plans change fairly often. If you can't find a button exactly as described, simply ask Gemini: "How do I ... in the Gemini app?"
