A step-by-step guide to free Canva: a promotional image in 10 minutes, posters, menus, marketplace product photos, AI tools and when Canva Pro is worth it.

Canva is an online design tool that lets you make promotional images, posters, menus and product photos by picking a ready-made template and dragging things around. No Photoshop, no designer needed for everyday graphics, and the free plan covers most of what a small shop needs.

This Canva guide is written for people who have never designed anything: the layout of the editor, a promotional image in 10 minutes, posters and product photos, Canva's AI tools, common mistakes, and when the paid plan is worth it.

1. What can free Canva do?

A free account gives you:

  • Millions of templates for Facebook, Instagram and TikTok posts, posters, menus, business cards and online-shop banners.
  • Free photos, icons and fonts, including many fonts that handle Vietnamese accents.
  • Downloads as PNG, JPG or print-ready PDF.
  • AI tools for writing copy and generating images, with a monthly usage allowance.
  • Computer and phone apps that sync your designs automatically.

Templates and images marked with a crown icon belong to Canva Pro (paid). Some handy features, such as one-click background removal and automatic resizing, are Pro-only too.

Canva is one of the 6 free AI tools for small businesses we have covered, and the only one focused on images and print.

2. Signing up and finding your way around

  1. Go to canva.com on a computer or install the Canva app (developer: Canva) on your phone.
  2. Sign up with Continue with Google to use your Gmail account; no new password needed.
  3. When asked what you'll use Canva for, choose small business or personal. It only affects which templates Canva suggests.

The editor has three main areas:

Area What it's for
Left panel Templates, text, photos, icons, and uploading your own pictures
Centre The design itself; click any text or image to edit it
Top bar Font, size and colour; the Share button to download

3. A promotional image in 10 minutes

Example: a "20% off this weekend" image for a bakery's Facebook page.

Step 1: Pick the right size

On the home page, search for "Facebook post" (or "Instagram post", "TikTok"). Canva opens a canvas at the right size, so nothing gets cropped when you post.

Step 2: Choose a template

Search the left panel for "sale" or "promotion". Choose a layout you like; colours can be changed later.

Step 3: Replace text, photos and colours

  • Double-click the text and type your own: offer, dates, address or phone number.
  • Drag your product photo from your uploads onto the template photo to replace it.
  • Click a coloured block and pick your brand colour.

Step 4: Check and download

Re-read the price, dates and phone number. Click Share → Download and choose PNG for the sharpest result on social media.

Tip: once you have an image you like, duplicate the design for your next offer and just change the words. Your posts will look consistent and more professional.

4. Posters, menus and product photos

Posters and menus for printing

Search for "menu" or "poster". When downloading for print, choose PDF Print. Ask your print shop for the paper size (A4, A3) first and pick it from the start.

Product photos for online marketplaces

Marketplaces such as Shopee and TikTok Shop favour square photos with a clean background and the product in the centre. With the free plan:

  1. Photograph the product against a plain background (a sheet of white A3 paper, a light wall) in good daylight.
  2. In Canva, create a square design (for example 1080 × 1080).
  3. Place the photo and add a frame, a price tag or a small "Free shipping" label in a corner.

If you need to remove backgrounds for dozens of products every week, that's when Pro's background remover pays for itself.

Business cards, vouchers and small signs

Search by name ("business card", "voucher") and edit them exactly like the promotional image above.

5. Using AI in Canva

Canva has a set of AI tools inside the editor:

  • Writing help: headlines, taglines and short product descriptions.
  • Text to image: type "strawberry cake on a wooden table, warm light" to get an illustration.
  • Design suggestions: describe what you need and Canva proposes a few layouts.

The free plan includes a limited number of AI uses per month; when they run out, wait for next month or upgrade.

Note: AI images are fine for decoration and backgrounds. Don't use them in place of real product photos: customers who receive something different lose trust, and marketplaces may penalise the listing.

6. Common mistakes and how to avoid them

  • Broken Vietnamese accents: switch fonts. Type a test phrase with accents before you commit to a font.
  • Text too small on phones: most customers scroll on a phone. Use a big headline and one main message per image.
  • Accidentally using Pro elements: items with a crown can't be downloaded on the free plan without paying. Canva usually tells you which item is Pro when you download, so you can swap it out.
  • Using other brands' assets: don't put other companies' logos or famous cartoon characters in your sales images without permission.
  • Wrong details: check prices, dates and phone numbers. One wrong number on 500 printed flyers costs real money.

7. When to upgrade to Canva Pro

The free plan is enough if you make a few social posts a week. Consider Canva Pro when:

  • You need to remove backgrounds from many product photos.
  • You want one design resized automatically for Facebook, Instagram and TikTok.
  • You want a brand kit (logo, colours, fonts) saved so staff use them correctly.
  • You regularly run out of AI uses.

In Vietnam, Canva Pro for one person costs around 150,000 VND a month at the time of writing, less if you pay yearly. Check the current price on Canva's site before buying. Only pay Canva directly, and never buy a cheap "Canva Pro account" from a stranger: you can be removed from the shared team at any time and lose your designs.

8. Where to start

  1. Today: sign up and make one promotional image following the 4 steps in section 3.
  2. This week: photograph your 3 best-selling products on a plain background and make square marketplace images.
  3. At the weekend: save a "standard" design for your shop (colours, fonts, logo position) so next time you only change the text.

Canva handles the visuals; for the words, an AI assistant helps, see our ChatGPT guide for business owners. To turn product photos into short videos, read the CapCut guide for sales videos.
